Adult renewal application (PC7) by mail
For an Adult passport renewal, you must be 18 years and over and you will need a passport that:
- was issued when you were aged 16 or older
- was issued on or after 1 January 2006
- had, when it was issued, at least two years’ validity
- has your current name, date of birth, place of birth and gender, and
- has not been reported lost, stolen, or cancelled.
If you can answer yes to all the above, complete your PC7 passport renewal application online.
If you don’t meet the above criteria, you’ll need to lodge your application in person by appointment only.
- Complete your renewal application form online
- The application must be lodged within six months of completion.
- Print and sign your application form
- Print your application on plain white A4 paper, using black ink only. Make sure your form has printed in full and is not cut off at the top or bottom of the page.
- Print the form using the "fit to page" setting to ensure no sections are missing. Refer to more information on printing your application form.
- Sign the form using a black pen, within the signature box. Make sure there are no alterations or whiteout on the signature or the date. It is essential that you sign within the box.
- Photos
- Two recent identical colour photos, less than six months old with your full name written on the back of one photo. The photos must comply with the photo guide. Refer to photo guidelines for more information.
- Do NOT attach the photos to the form as this may damage them.
- Payment
- We will contact you regarding the payment and email you payment instructions once your complete application is received at our office.
- Ensure you have a MasterCard/Visa/American Express card for payment.
- Payment is made online in AUD only. Ensure your internet is secure and stable for the payment to go through.

- How long will it take?
- Please allow a minimum of six weeks to receive a new passport once payment has been taken. PLEASE NOTE incomplete applications may add to the timeline.
- Do I send my current passport with the renewal application?
- No
- How will I know if/when my application has been received at post?
- We will contact you regarding the payment once your complete application is received at our office.

- What if I need to travel urgently, but already mailed in my renewal application?

- Will the mission post my new passport to me?
- Your new passport will be posted via EMS to the postal address provided on your passport renewal application form (PC7).
- If your circumstances have since changed, please contact us to discuss alternative options to receive your passport.
- What if I cannot access the online portal to complete and print my PC7 renewal application?
- Contact us to request a pre-filled PC7 renewal form to be emailed to you.
Child renewal application (PC8) by mail
Child passport renewal applications (PC8) can be mailed-in provided the applicant is:
- aged up to 15 years old and
- has held a previous passport
If you can answer yes to the above, complete a PC8 passport application online.
For first-time child applications and applicants aged 16 or 17, the application must be lodged in person by appointment only.

- Complete the application form (PC8) online
- The application must be lodged within six months of completion.
- Photos
- Include minimum two passport photos, less than six months old. Refer to photo guidelines for more information.
- The back of one photo must be endorsed by the child’s guarantor, writing ‘This is a true photo of [the child’s full name]’ and signed in black pen.
- DO NOT attach the photos to the form as this may damage them.
- Parents proof of identity
- Copies of both parents’ identity documents that show their name, photo, signature and current address (i.e. both parents or those with parental responsibility for the child who signed section 17 on the application form).
- If there are changes in parental circumstances, please provide certified copies of the supporting documents confirming the changes. For example: if the parent passed away, or changed their name, certified copy of the death certificate or the change of name certificate is required.
- We accept certified documents by notary public/office of justice in Vietnam.
- If the supporting documents provided are not in English, an English translation is required. We accept documents translated by notary public/office of justice in Vietnam
- Print the application form
- Print the child renewal application on plain white A4 paper, using blank ink only. Make sure the form has been printed in full and isn't cut off at the top or bottom of the page.
- Print the form using the "fit to page" setting to ensure no sections are missing.
- Refer to more information on printing your application form.
- Signing the application form
- Sign the form using black pen, within the signature box. Make sure there are no alterations or whiteout on the signature or the date.
- Children 10 years or older must provide a signature unless there is a medical reason or disability that prevents them from signing.
- Guarantor
- A guarantor must sign section 11 of the application form. Remember the guarantor must also endorse the back of a passport photo by writing ‘This is a true photo of [the child’s full name]’ and signing in black pen.

- Consent
- Parental Consent is required for a child passport. Everyone who’s giving consent must sign section 15 of the form in front of a witness.
- Payment
- We will contact you regarding the payment once your complete application is received at our office.

- Yes. Please note certified copies are required in this case. The documents can be certified by notary public/office of justice in Vietnam.

Booking an appointment
If you are eligible for a mailed-in application, you can lodge the application by mail without an appointment. All other passport applications require lodgement in person and a lodgement appointment is required.
Passport appointments are available on Mondays from 13:30 to 16:00, and on Wednesdays and Fridays from 9:00 to 12:00 and 13:30 to 16:00, excluding Embassy’s public holidays.

From 22 January 2024, the Embassy has ceased accepting payment by cash and accept payments by card only.
