The Australian Embassy is now accepting applications for an Office Administrator position, to begin in April 2010. This is an exciting opportunity for candidates with good English, technical and office skills to join the dynamic team at the Embassy in Hanoi.

The primary function of this position is to provide assistance to the Facilities Manager in his day to day technical management of the Chancery. The successful candidate will also have the opportunity to work in work planning, budgeting, progress reporting, accounting and management of local contractors.

Candidates are expected to have high level communication skills, both in English and Vietnamese. This position requires strong organisational and interpersonal skills, and the successful candidate should be able to work independently and with others in a team. Candidates should possess at least two years experience in a similar position within a technical environment, with previous engagement with an Embassy or International Organisation to be a plus.

Job description:

Reporting to the Facilities Manager, the Office Administrator - UGL will be required to perform the major tasks as follows:

  • Compiling a number of periodical reports for the UGL office in Canberra, including the Annual Property Inspection Report, the Monthly Essential Service Report;

  • Liaise with Canberra regarding monthly planned maintenance tasks and unplanned reactive maintenance requests, alongside with the planned and unplanned maintenance budgets;

  • Assist the Facilities Manager in selection and management of local contractors for various projects, including coordination of tender bids, obtaining quotations, preparing service contracts, following up on works in progress, filing of completed works and maintaining contractors' database;

  • Manage the UGL petty cash account, including reimbursement of material miscellaneous expenses, compiling petty cash reports and monthly acquittals in close adherence to the “United Group Limited” finance management policies;

  • Perform other property and general office duties as directed by the Facilities Manager.

Selection criteria

  • A qualification in accounting, finance, business administration or related field;

  • Ability to proficiently operate basic Window Appliances including WinWord, MSOffice and Excel;

  • Good command of spoken and written English and ability to communicate effectively in English on basic technical subjects;

  • At least two years experience as an office assistant, bookkeeper, or general assistant to a director or a manager within a technical environment;

  • Holder of a B class driver licence with a clean driving record;

  • Ability to work independently and as part of a team;

  • Experience holding a similar position in an international organisation would be an advantage;

  • High level of ethics with a sense of responsibility and ability to communicate effectively with local service contractors.
